Keep the Closeout Evidence-based

The readiness check should highlight missing evidence and prevent customer-facing promises that have not been confirmed directly.

Run a Three-gate Readiness Review

Technical gate. Confirm the intended application, evaluation method, current trial stage, and unresolved performance question. An application name by itself is not evidence of suitability; record what has actually been reviewed and what still needs supplier input.

Document gate. List the SDS, COA, specification, and other support files needed for the buyer workflow. Record the version or date being reviewed, who checked it, and whether a current copy must be requested before the project advances.

Commercial and logistics gate. Prepare the quantity range, destination, timing need, and required commercial fields as inputs for direct supplier confirmation. Keep price, MOQ, packaging, availability, delivery, payment, and logistics points visibly open until they are confirmed for the current request.

Define the Stop or Continue Decision

  • Continue to supplier follow-up when the application context is clear and every missing field has a named question.
  • Pause for technical review when the product scope, test basis, or trial observation is still ambiguous.
  • Pause for document review when a file is missing, outdated, or not tied to the product being discussed.
  • Do not describe the project as order-ready while an unconfirmed commercial or logistics point could change the comparison.

A compact inquiry package should identify the application, destination, current evaluation stage, requested documents, and open questions. Review the product scope, assemble the needed files through the document center, then send only the current facts through the product inquiry path.
